Our Role<\/h4><p>In many cases, Tenley provides the Services on behalf of a property-management company, property owner, housing operator, or other organization that has contracted with Tenley.<\/p><p>When an organization provides your information to Tenley or instructs Tenley to process information through the Services, that organization may determine why and how the information is used. Questions about property management decisions, tenancy records, maintenance decisions, or information maintained by your property manager should generally be directed to that organization.<\/p><p>Tenley may separately control information used to administer accounts, secure and operate the Services, provide customer support, process payments, comply with legal obligations, and improve the Services.<\/p><h4>2. Information We Collect<\/h4><p>Depending on how you use the Services, we may collect the following categories of information.<\/p><h5>A. Information From Organizations and Other Users<\/h5><p>Property managers, employers, owners, authorized administrators, tenants, residents, vendors, and other users may provide information about you when using the Services.<\/p><p>For example, a property manager may create an account for an employee or tenant, assign a person to a property, upload property records, or include an individual in a maintenance or incident report.<\/p><h4>3. How We Use Information<\/h4><p>We may use information to:<\/p><ul><li>Create and administer accounts<\/li><li>Authenticate users<\/li><li>Provide role-based access<\/li><li>Operate and maintain the Services<\/li><li>Receive and organize maintenance or incident reports<\/li><li>Route communications to authorized personnel<\/li><li>Facilitate calls, text messages, chats, alerts, and notifications<\/li><li>Process photographs, documents, and inspection materials<\/li><li>Generate automated classifications, summaries, or suggested routing<\/li><li>Provide customer support<\/li><li>Diagnose errors and improve reliability<\/li><li>Prevent fraud, misuse, and unauthorized access<\/li><li>Maintain audit and activity records<\/li><li>Process subscriptions, invoices, and payments<\/li><li>Enforce our agreements and policies<\/li><li>Comply with legal obligations<\/li><li>Protect the rights, property, and safety of Tenley, our customers, users, and others<\/li><\/ul><h4>4. Automated and Artificial Intelligence Features<\/h4><p>Certain Tenley features may use automated systems or artificial intelligence to help:<\/p><ul><li>Classify a report or request<\/li><li>Determine whether an issue may require urgent attention<\/li><li>Summarize communications<\/li><li>Transcribe audio<\/li><li>Suggest routing or next steps<\/li><li>Organize photographs, documents, or inspection information<\/li><li>Assist customer-support or property-management personnel<\/li><\/ul><p>Automated outputs may be incomplete or inaccurate and should not be treated as professional, legal, medical, safety, or emergency advice.<\/p><p>Tenley may use third-party technology providers to process limited information necessary to provide these features. Those providers are authorized to process information for the services they perform for Tenley, subject to applicable agreements and restrictions.<\/p><p>Tenley&#8217;s automated features do not replace the judgment of property management personnel, maintenance professionals, first responders, or emergency service providers.<\/p><h4>5. Emergency Communications<\/h4><p>Tenley is not a 911 service, emergency dispatch center, security company, medical provider, fire department, law-enforcement agency, or substitute for emergency services.<\/p><p>If you are experiencing an immediate threat to life, safety, or property, call 911 or contact the appropriate local emergency service before using Tenley.<\/p><p>Tenley does not guarantee that a message, call, report, alert, or notification will be reviewed or acted upon within any particular period.<\/p><h4>6. How We Disclose Information<\/h4><p>We may disclose information in the following circumstances.<\/p><h5>A. Customer Organizations and Authorized Users<\/h5><p>Information may be disclosed to the property-management company, property owner, employer, administrator, personnel, vendor, or other organization responsible for the applicable property or account.<\/p><p>Authorized users may have access based on permissions configured by the customer organization.<\/p><h5>B. Service Providers<\/h5><p>We may use service providers that help us provide:<\/p><ul><li>Cloud hosting and database services<\/li><li>Authentication<\/li><li>Email, telephone, and text-message delivery<\/li><li>Artificial intelligence, transcription, or automated processing<\/li><li>Customer support<\/li><li>Analytics and diagnostics<\/li><li>Payment processing<\/li><li>Security monitoring<\/li><li>Document and file storage<\/li><li>Software development and technical maintenance<\/li><\/ul><p>These providers may process information only as necessary to perform services for Tenley, subject to their agreements with us.<\/p><h5>C. Data Security<\/h4><p>Tenley uses administrative, technical, and organizational measures intended to protect information against unauthorized access, loss, misuse, alteration, or disclosure.<\/p><p>However, no internet transmission, electronic communication, application, or storage system is completely secure. We cannot guarantee absolute security.<\/p><p>You are responsible for protecting your login credentials and for notifying us promptly if you believe your account has been accessed without authorization.<\/p><h4>10. Account Access, Correction, and Deletion<\/h4><p>Users may be able to review or update certain account information within the Services.<\/p><p>You may request access, correction, or deletion of information by contacting: privacy@tenley.us<\/p><p>Your request should include enough information for us to identify your account and verify the request.<\/p><p>Because Tenley frequently processes information on behalf of property management organizations, we may refer your request to the applicable organization or require its authorization before modifying or deleting information it controls.<\/p><p>We may retain information where required or permitted for legal compliance, fraud prevention, security, dispute resolution, record keeping, or enforcement of agreements.<\/p><p>Deleting an account may not automatically delete information that:<\/p><ul><li>Was provided or controlled by a property management organization<\/li><li>Appears in another user&#8217;s legitimate business records<\/li><li>Must be retained for legal or security reasons<\/li><li>Has been de-identified or aggregated<\/li><\/ul><h4>11. California Privacy Information<\/h4><p>California residents may have rights concerning their personal information under applicable California law.<\/p><p>Depending on the law that applies and Tenley&#8217;s role concerning the information, these rights may include the right to request:<\/p><ul><li>Access to certain personal information<\/li><li>Correction of inaccurate personal information<\/li><li>Deletion of certain personal information<\/li><li>Information concerning categories of collection, use, and disclosure<\/li><li>Opt-out choices when required by law<\/li><li>Equal service and treatment for exercising applicable privacy rights<\/li><\/ul><p>To submit a request, contact privacy@tenley.us.<\/p><p>We may need to verify your identity and authority before completing a request. Children&#8217;s Privacy<\/h4><p>The Services are not directed to children under 13, and Tenley does not knowingly collect personal information directly from children under 13 without appropriate authorization.<\/p><p>If you believe a child under 13 has submitted personal information to Tenley without appropriate authorization, contact privacy@tenley.us.<\/p><h4>13. Third-Party Services and Links<\/h4><p>The Services may contain links to or integrations with third-party websites, communication providers, payment processors, maps, app stores, or other services.<\/p><p>Tenley is not responsible for the privacy practices, security, availability, or content of third-party services. Their own terms and privacy policies apply when you use them.<\/p><h4>14. International Use<\/h4><p>Tenley is operated from the United States. If you use the Services outside the United States, information may be transferred to, processed in, and stored in the United States or other countries where our service providers operate.<\/p><p>Those countries may have privacy laws different from the laws in your jurisdiction.<\/p><h4>15.
